Start with a real job: a signed form, a receipt, a long packet, or a searchable archive. Free scanning, OCR, PDF export, and cloud storage are separate capabilities. A scanner can capture a page offline while a connected feature needs the network.

Apple documents multi-page capture, adjustable edges, saving from Files, and adding a signature through Markup in Notes. Start here when you only need a readable form or letter as a PDF. Apple scanning and signing instructions.

Genius Scan Basic provides document capture, editing, and manual exports without ads. The current plan guide presents Ultra as a subscription for OCR, automated exports, and other advanced tools. The developer says documents remain on the device unless you choose an export or create an account for backup and sync. OCR and PDF generation run on the device. Check the settings for the workflow you enable. Genius Scan privacy policy.

ScanLens performs scanning and OCR on the device. Cloud backup and linked accounts are optional. Purchases, diagnostics, account data, and document metadata are handled as described in our Privacy Policy. On-device document processing does not mean the app collects no data.
Adobe Scan turns captured pages into PDFs and recognizes text. Its documented storage workflow uses Adobe cloud storage; exported copies can be shared with other apps. It is a useful fit when your documents already continue through Acrobat. Adobe Scan FAQ and export guide.
Adobe documents an OCR limit of 25 pages for general users and up to 100 with a paid subscription. Check this before scanning a long packet. This list does not rank Adobe OCR against other apps. Adobe OCR settings and limits.
Microsoft recommends OneDrive after retiring Lens. Its scanner saves to a selected OneDrive location; Microsoft explicitly says it cannot save scans locally on the device. Choose it when that cloud destination is the job. Microsoft retirement and replacement guidance.
If you need a separate local PDF, choose a scanner that exports to Files, then upload a copy. For preserving old Lens files, follow the Microsoft Lens migration guide.
If colleagues already use CamScanner, check whether the same export and shared-file workflow works for your account. Its App Store listing includes advertising and in-app purchases, and the privacy label discloses tracking-related data. These are developer disclosures, not an independent security audit. SwiftScan advertises PDF/JPG output, configured cloud uploads, signatures, and page rearrangement. The developer states that text recognition runs on the device. This corrects a common oversimplification that every cloud-connected scanner processes OCR remotely. SwiftScan feature overview.
Check which upload, OCR, and editing tools the current iPhone plan includes. We do not assume a lifetime purchase or compare OCR accuracy without a documented test.
Start with Notes and Markup for a straightforward signature. Use a reusable signing workflow when you repeatedly place the same signature or need additional PDF tools. Follow the steps to sign a PDF and reopen the exported copy to check placement.
Look for legible totals, useful filenames, folders, and text search. Scan one long receipt before moving an archive: a faded total or clipped date matters more than a general “best scanner” label. Our receipt scanning guide covers the checks.
Test capture, reopening a saved file, OCR, and export separately without a connection. ScanLens processes scanning and OCR on-device; Genius Scan and SwiftScan also document on-device recognition. A cloud destination still needs connectivity.

Use the same non-sensitive two-page sample in your shortlisted apps: a letter with small print and a receipt with a date and total. Capture both in similar lighting and keep the originals for comparison.
