Why scan to Dropbox

Dropbox is the cloud storage a lot of professional workflows are built on. Design teams, agencies, legal practices, and small businesses use Dropbox shared folders as the central place files live. If your workflow already runs through Dropbox, scanning a receipt, contract, or form directly into the right Dropbox folder is the shortest path from paper to filed.

ScanLens connects to Dropbox using Dropbox's official OAuth login — the same authentication flow the Dropbox mobile apps use. Your Dropbox password is never shared with ScanLens, and you can disconnect the connection at any time from your Dropbox account settings.

How to connect Dropbox to ScanLens

Step 1: Install ScanLens

Download ScanLens from the App Store. No ScanLens account needed — the app works without sign-up.

Step 2: Open Cloud Sync settings

In ScanLens, open Settings and tap Cloud Sync. You will see iCloud, Google Drive, Dropbox, and OneDrive.

Step 3: Connect Dropbox

Tap Dropbox. ScanLens opens Dropbox's official login page inside a secure web view. Sign in and approve ScanLens's access request. Dropbox shows you exactly which permissions ScanLens is requesting before you grant them.

Step 4: Pick your upload folder

After authentication, choose which Dropbox folder scans should go to. You can pick an existing folder or let ScanLens create a new one. Common choices: /Scans, /Documents, or specific subfolders like /Receipts/2026 or /Contracts.

Step 5: Scan and upload

Scan a document with the camera, review it, and save. The PDF uploads to your chosen Dropbox folder. With auto-upload enabled (Premium), this happens in the background automatically.

Dropbox Business and team folders

For teams on Dropbox Business, scanned documents can go directly into shared team folders. Everyone on the team with access to that folder sees the scan immediately — useful for signed contracts that need to be visible to the whole team, or client documents that belong in the project folder rather than someone's personal scan inbox.

Some Dropbox Business admins restrict which third-party apps can connect to company accounts. If you get an error connecting, check with your admin — they may need to approve ScanLens in the Dropbox Admin Console under Apps.

For personal Dropbox accounts, team folder restrictions do not apply. You can upload to any folder you have access to.

Background auto-upload

When auto-upload is enabled, scanned documents are queued and uploaded to your chosen Dropbox folder automatically. Uploads happen in the background, using iOS background transfer. You do not need to keep the app open.

The WiFi-only option prevents uploads on cellular data. Useful if you are scanning while traveling or on a metered data plan. Scans are queued and upload as soon as you return to WiFi.

Auto-upload is a Premium feature. Free tier users can still manually share scans to Dropbox through the standard iOS share sheet — it just requires a tap each time.

Pricing changes. Verify current Dropbox plans at dropbox.com/plans. The Basic free tier's 2 GB is quite small — if you scan regularly, you will probably fill it within a year. For heavier use, the Plus tier or a Google Drive account with its 15 GB free might make more sense as a scanning destination.

Before uploading, consider compressing PDFs to save space. Compression typically reduces scan file sizes by 50–80%.

Dropbox Paper and document collaboration

Dropbox Paper is a collaborative workspace built into Dropbox that can embed files stored in your Dropbox account. Scanned contracts, meeting notes, or signed forms uploaded via ScanLens can be referenced directly inside a Paper document — viewers see an inline preview of the scan without leaving the page. This makes Dropbox particularly strong for teams that need to annotate and discuss scanned documents in context rather than forwarding individual files over email.

A typical workflow: scan a signed contract with ScanLens, auto-upload it to your /Contracts Dropbox folder, then embed that file in a Paper doc titled "Q2 Vendor Agreements." Team members can comment directly on the Paper doc, add context around the scan, and link to related files — all in one place. Paper docs support mentions, task assignments, and timelines, turning a static scan into part of a living project document.

For teams that rely on Dropbox as their primary cloud sync destination, Paper bridges the gap between file storage and project management. Scanned documents stop being isolated PDFs and become part of the conversation.

Selective Sync and offline access

Dropbox's Selective Sync feature lets you choose which folders sync to your computer's local disk. If you scan hundreds of documents per month, you can keep your /Scans folder in Dropbox cloud-only on your Mac — freeing up local storage while maintaining the full archive in the cloud. Access any scan through the Dropbox web interface or mobile app when you need it, without every file taking up space on your hard drive.
